RentWeave vs Current RMS

Current RMS is a mature, feature-deep rental system with a strong following in AV and production hire. RentWeave is narrower on purpose. This page is what that narrowness buys you, and where it costs you.

The short answer

Choose RentWeave if you hire out chairs, tables, linen and marquees by the hundred and want them counted that way. Choose Current RMS if your kit is serial-numbered, sub-hired and specified, or spread across several warehouses.

Which one should you pick?

You hire out chairs, tables, linen, marquees and decor rather than serial-numbered technical kit, and you want the system to model that rather than make you adapt to an asset register.

Choose RentWeave if

  • Your stock is interchangeable: forty chairs are one line with a count of forty
  • Availability has to allow for prep and cleaning days
  • Seasonal crew should never add a fee per head
  • Counting and check-in happen on a phone, in the warehouse

Choose Current RMS if

  • You track individual assets by serial number
  • Sub-hire chains and technical specifications are daily work
  • You need deep multi-warehouse and multi-currency handling
  • You want a vendor with a long support history

What RentWeave does differently

Built around the return.

Stock leaves, comes back in a condition somebody records, and has to be ready before the next booking wants it. Everything here follows from that.

  1. Availability that knows about the wash

Every item carries its own prep and cleaning days, and availability subtracts them. Linen collected on Sunday with two days of turnaround is not offered for Monday just because the booking technically ended. The number you quote from is the number you can actually load.

  2. A check-in that has to reconcile

Returning stock is the only moment the truth about your inventory changes, so it is a full workflow rather than an edit screen. You record what came back, what came back broken and what did not come back, and the three reconcile against what went out. Count forty-two against forty and it says so, because somebody has counted a pile twice.

  3. Damaged and missing are separate pools

Damaged stock is here and out of service. Missing stock is unaccounted for and often turns up in the wrong crate at the next event. Both come off availability, both stay on the record, and neither is a note in a comment field — so “how many do I own” and “how many can I promise in June” stay two answerable questions.

  4. The floor observes, the office decides

Roles are assembled from individual permissions rather than picked from a list of three. Warehouse staff can move units between pools, fix a storage position and submit a stock count without ever being able to change what the company owns — and cost prices are visible only to the roles you hand that permission to.

In fairness

Where Current RMS is the better answer

If you track serial numbers, manage sub-hire chains and technical specifications, need deep multi-warehouse and multi-currency handling, or want an established vendor with a long support history, Current RMS is built for that and we are not. We model interchangeable units in bulk; if your business runs on individually identified assets, that is the wrong shape for you.

Moving from Current RMS

Export from Current RMS, drop the files in and press Import once. Anything already in RentWeave is left alone.

What comes across

  • Your stock list, with the quantities you actually own
  • Customers, their contacts and their addresses
  • Bookings still ahead of you, with their dates and lines
  • Your rental rates, so the next quote prices itself

What stays behind

Serial numbers have nowhere to go: each item type comes across as one bulk count. If your kit genuinely needs individual identity, that is a reason to stay.

Moving from Current RMS: questions

Do you track serial numbers?

No, and it is a deliberate design decision rather than a gap we intend to close. Forty chairs are forty interchangeable units, and forcing them into forty asset records makes counting harder, not easier. If your stock genuinely needs individual identity — technical kit under warranty, say — an asset-based system is the right tool and we will say so.

Is pricing per user?

No. Plans are per company with a seat cap, so taking on seasonal staff for the summer does not change what you pay. Current RMS publishes per-user pricing, so there each login adds to the monthly bill. Our caps and prices are published in full on the pricing page.

Can warehouse staff use it on a phone?

That is the primary case it was designed for. The counting and check-in screens assume one hand, bad light and gloves — large controls, plain states, and no step that needs a keyboard. The office screens assume a desktop, and neither is a cut-down version of the other.

Try it against your own stock.
