Moving to RentWeave

Bring everything with you.

Export from your old rental system or spreadsheet, drop the files in and press Import once. RentWeave works out what each file holds, shows you before it saves anything, and skips whatever it already has.

From $29 a month · 14 days free · No card needed

What usually stops people moving.

  • “I’ll be typing it all in again.”

Drop every file at once. Headings are matched by meaning, so “Qty”, “Stock count” and “Quantity on hand” all land in the same place, and a workbook with several sheets becomes one card per sheet.

  • “It will make a mess of what’s already there.”

Import only adds. A record RentWeave already has is counted and left alone, never overwritten, so running the same files twice is harmless.

  • “Old jobs will wreck my availability.”

Only bookings still to come are brought across. Each one is checked for stock exactly as a booking typed in would be, and anything already returned or cancelled stays behind.

  • “I won’t know what didn’t make it.”

Before anything is saved, each card previews its records and lists every row it will skip, with the reason. Afterwards it says how many were added and how many were already there.

  • “My files end up on somebody’s server.”

Your files are read in your browser. Only the records you import are sent, and they are checked again when they arrive.

  • “Once it’s all in, I’m stuck.”

Settings → Data exports everything, any time, in files that import straight back in. Stop paying and you can still sign in, look everything up and export it.

Where you can move from

No connector, no template.

RentWeave reads the column headings, so anything that exports CSV or Excel can come across. The card says how many columns it recognised, and you match the rest by hand.

  • RentWeave vs Goodshuffle Pro

    From Goodshuffle Pro

Whatever Goodshuffle Pro exports as CSV or Excel comes through the same way: columns matched by meaning, and any left over matched by hand on the card.

  • RentWeave vs Current RMS

    From Current RMS

Current RMS product and product group headings are recognised, so your stock arrives sorted into the same categories.

  • RentWeave vs Rentman

    From Rentman

Rentman’s equipment headings are recognised, and serialized stock, one row per unit, is added up into a quantity.

  • RentWeave vs Booqable

    From Booqable

The headings Booqable’s product import uses are on RentWeave’s list, so SKUs, categories and prices find their columns.

  • Excel, Google Sheets, Numbers

    From a spreadsheet

Save it as .xlsx or .csv. A workbook with an Items sheet and a Customers sheet is read as both.

How it works

Four steps, one button.

  1. Export from your old system

Most rental software exports products, customers and orders as CSV or Excel, usually under Export, Reports or Settings. A spreadsheet you keep yourself works as it is.

  2. Drop every file on Settings → Data

CSV, tab-separated text, Excel (.xlsx) and JSON, all at once. Nothing leaves your browser at this point.

  3. Check each card

It says what it thinks the file holds and how many columns it recognised. Change which column means what, preview the first records, and read the rows it will skip.

  4. Press Import once

Inventory goes in first, then customers, suppliers and bookings, so every booking finds the items and the customer it names.

What comes across

The fields each kind of record can fill. Each needs the same permission as adding one by hand.

  • Inventory

Name, SKU, Category, Zone or shelf, Unit, Quantity owned, Rental price, Replacement price, Cost price, Description, Notes, Reorder point, Turnaround days, Damaged, In maintenance, Missing, Retired.

  • Customers

Name, Company, First name, Last name, Contact person, Customer type, Email, Phone, Address, Address line 2, Town or city, Postcode, Notes.

  • Vendors Small Business and up

    Name, Email, Phone, Notes.

  • Bookings

Order number, Booking name, Customer, Customer email, Customer phone, Out date, Due back, Event date, Status, Item, Item SKU, Quantity, Guests, Notes.

What stays behind

Bookings already returned or cancelled, quotes, invoices and payments, photos and serial numbers. Export them for your records before you close the old account.

Moving in: questions

How long does moving take?

Mostly as long as exporting from your old system takes. The files are read as you drop them, the cards show you what will happen before anything is saved, and the import itself is one button.

Will it overwrite anything I have already set up?

No. Import only adds. An item with the same SKU (or name), a customer with the same email (or name and phone), a supplier with the same name, or a booking for the same customer on the same dates is counted as already here and left exactly as it is.

Which files can it read?

CSV, tab-separated text, Excel (.xlsx) and JSON, including the export from another RentWeave workspace. An .xls, Numbers or OpenDocument file needs saving as .xlsx or .csv first; from Google Sheets, download as .xlsx.

Do past bookings come across?

No, only bookings still to come. A job returned last month is history, and its stock is already back on the shelf. Rows sharing an order number become one booking with several lines, and the old order number is kept in its notes.

What if an imported booking is short of stock?

It is skipped and listed, unless you are allowed to override availability. Then it is saved as over-booked, with a note that it was already promised in your old system, and appears on the conflicts page so it can be sorted out.

Which way round does it read a date like 03/04?

It looks through the whole column for a day above 12 to settle it. If nothing does, it reads the dates in your date format, and the card lets you switch.

Do serial numbers come across?

No. RentWeave tracks quantities, so an export with one row per unit is added up into one item with that many units.

Who on my team can import?

Anyone allowed to add the same records by hand. Prices and cost prices need the finance permissions that set them, a new category needs permission to manage categories, and your plan’s item limit applies to imported items too.

Can I import during the free trial?

Yes. The trial has every feature, the import included, for 14 days, with no card.

Try it with your own export.

Drop in your stock list and see what comes across. 14 days of every feature, no card.

  • No card needed

  • Read-only, never deleted
