How RentWeave works

Taking a booking, counting stock, loading a van and getting paid, with a reference drawn straight from the product.

About RentWeave

  • Getting started

Signing up, what a new RentWeave account arrives with, and the shortest path from an empty account to a booking you can load a van from.

  • Plans, trials and billing

How the RentWeave trial works, what each plan includes, and exactly what a lapsed subscription does and does not take away.

Dashboard

  • The dashboard

What today asks of you, gathered on one screen: what is going out, what is due back, what is overdue, and anything short.

Bookings

  • Taking a booking

How a booking reserves stock across a date range in RentWeave, how availability is worked out, and what happens when you promise more than you own.

  • Loading out and counting back in

How RentWeave records what actually left the building against what was booked, and how the four figures on a return reconcile.

Customers

  • Customer records

Contacts, venues, customer types and history in RentWeave — and how to archive or merge a record without losing anything.

Run sheet

  • Run sheets and planning

How RentWeave holds a job's schedule — timed run-sheet lines, dated tasks and an undated backlog — and who can write one and who can tick it off.

Site planner

  • Site planner

How to place a booking's items on a floor plan or an outdoor map, and why the plan never disagrees with the booking.

Dispatch

  • Dispatch and runs

How RentWeave schedules a delivery and its collection, what counts as a vehicle clash, and why a hired-in truck never clashes.

Inventory

  • Inventory and stock

How RentWeave counts rental stock in bulk, what each of the seven figures on an item means, and where an item lives in the building.

  • Running a stock count

How a stock count works in RentWeave: the floor counts on a phone, a manager accepts, and the difference becomes an adjustment with a name on it.

Procurement

  • Purchase orders and vendors

How RentWeave records what you buy — stock, consumables, sub-hire and repairs — and why signing for a delivery is a separate step from taking it into stock.

Finance

  • Quotes, invoices and payments

Quote, invoice, payment, receipt — how each RentWeave document is built from the one before it, and what a document freezes at the moment you issue it.

Audit log

  • The audit log

Every quantity change in the business with a name and a time against it, and what the audit log is and is not for.

Reports

  • Reports

The questions RentWeave's reports answer, how to set the period they cover, and how to get the figures out as a spreadsheet or a printed sheet.

Your account

  • Settings, staff and roles

What lives on each settings tab in RentWeave, how roles are composed, and how to export or delete everything.

  • Importing your data

Bring your inventory, customers, suppliers and upcoming bookings into RentWeave from a CSV, Excel or JSON file, in one go.

Reference

Tables drawn from the product itself.

Generated from the same lists the app runs on, so they change the day the product does.

  • Permissions reference

The full list of permissions a role can be given in RentWeave, grouped the way the role editor groups them, with the screens each one opens.

  • Plans and limits

Seats, item limits and the features each RentWeave plan carries, straight from the price list the app enforces.

  • Screens and what they need

The sections of RentWeave, the permission each one needs, and the plan each one comes with.

  • Units reference

Every unit RentWeave offers on an item, how it is written in the singular and the plural, and the short form printed beside a quantity.

  • Currencies reference

Every currency RentWeave will price, invoice and take payment in, with the symbol and the number of decimal places each one uses.

  • Booking statuses

The five booking statuses in RentWeave and the moves allowed between them.

  • Customer types

The six customer types in RentWeave, and why the list is closed rather than free text.

What’s new

Form errors say what is wrong

Some forms answered a mistake with a bare “Invalid input”. They now say what was expected instead, such as how long a note may be or the smallest quantity allowed.

Everything in these guides is in the trial: 14 days of every feature, with no card.

  • No card needed
  • Nothing charged when the trial ends
